The Director of Annual Giving plays a pivotal role in cultivating relationships with current parents across the JK-12 while strategically advancing fundraising efforts to support the organization's mission and goals. This role offers an exciting opportunity for a dynamic professional to make a meaningful difference in the lives of students, parents, and the South Bay community.
The Director of Annual Giving is expected to actively participate in a collaborative employee culture that is committed to being at the leading edge of JK - 12th grade education. The Director of Annual Giving reports to the Chief Institutional Advancement Officer and is part of a highly collaborative team of advancement and enrollment professionals all tasked with filling and funding the school. This individual works with highly confidential, personalized and proactive processes that hold families from the Admission experience through their tenure as current families and then into a deepening alum experience. Interpersonal skills, networking, attention to detail, and discretion are of utmost importance.
The Director of Annual Giving has primary oversight of all advancement events and provides organizational support for all annual fundraising activities and reporting. The Director of Annual Giving creates meaningful ways for current families to engage with and support Hillbrook School. The Director of Annual Giving manages the day to day operations of the Hillbrook Annual Fund and annual Benefit and assumes responsibility for implementing a comprehensive plan to cultivate, solicit, and steward stakeholders.
The Director of Annual Giving is based at our JK-8 campus in Los Gatos with attendance expected periodically on our Upper School campus in San Jose. The events-focused nature of advancement work necessitates that this role be available for evening and occasional weekend events.
Given the unique opportunities connecting with current families across the JK-12, the ideal candidate will have experience working in a customer-service role, ideally within an independent school setting. The ideal candidate understands the benefits of an independent school education and can articulate Hillbrook’s unique vision, mission, and extraordinary educational experience in a compelling way. This role also requires the individual to lead and manage events ranging from small dinner parties to large-scale fundraisers, so strong project management skills and fine attention to detail are essential.

Specific Duties and Responsibilities
- Plan and implement Hillbrook’s annual giving program (Annual Fund, Benefit, other fundraising events) in close collaboration with the Chief Institutional Advancement Officer
- Collaborate closely on all fundraising priorities with the Director Capital Campaign and Alum Engagement and the Advancement team to ensure Hillbrook families have a holistic and deeply meaningful experience engaging with and supporting the school
- Collaborate with the entire Office of Advancement and Enrollment team in fulfilling the goals and objectives outlined by school leadership
- Partner with the marketing and communication team to publish our Annual Report and develop compelling materials for fundraising appeals
- Plan and implement the school’s Annual Fund in close collaboration with the Chief Institutional Advancement Officer; tracking all donations through the gift process in coordination with Finance team
- Plan and implement fundraising for Flexible Tuition and Reach Beyond Scholars through major gifts, the Benefit, and other appeals; tracking all donations through the gift process in coordination with Finance team
- Coordinate and implement donor cultivation and recognition events, such as the Visionary Circle reception, Friends Circle reception, and Grandparents/Special Friends Day
- Maintain database of prospects and donors, including individuals, corporations, and foundations that can be used for all Hillbrook fundraising campaigns and activities
- Plan and implement targeted fundraising campaigns, including direct mail, email, phone, and digital strategies in coordination with the Advancement team
- Serve as primary liaison and coordinate closely with the Hillbrook Parent’s Association
- Other projects, as assigned by the Chief Institutional Advancement Officer
Events: The Benefit, Walkathon, Grandparents and Special Friends Day and associated stewardship events (large and small)
- Primary oversight of the school’s Annual Benefit, planning and implementing logistics, soliciting and coordinating auction item donations, and providing primary oversight of parent volunteer committees
- Create invitations, manage RSVPs and fields questions related to events
- Create and facilitate event programming
- Secure event sponsorships in collaboration with school leadership
- Secure and manages event vendors
- Track and manage event budgets
- Attend and provide onsite management of all Advancement events
- Strategize and conduct all event follow-up
- Set up, manage, and troubleshoot event software
- Track donations and underwriting in coordination with Finance team
- Manage and facilitate outreach with all constituents
- Recruit volunteer event committees and schedules/leads all event committee meetings
Qualifications
- Three or more years of relevant professional experience in fundraising or transferable experience
- A commitment to anti-racism and demonstrated skill designing equitable and inclusive experiences
- Natural networking instincts to build and nurture relationships with all types of constituent groups
- Excellent interpersonal, written and verbal communication skills to articulate and explain complex issues to stakeholders responsible for making informed and effective strategic decisions
- Excellent organizational and project management skills, especially as related to event management and gift processing
- Strong attention to detail for guiding gifts through transactions in collaboration with the finance team
- Ability to work both independently and collaboratively under tight deadlines
- Exhibit sound judgment related to confidential conversations, projects, and information related to the School or any of its constituents
- Strong active listening skills, including an ability to ask sensitive questions with tact
- Must be able to deal effectively and politely with people from all types of backgrounds and experiences and in all types of difficult or challenging situations
- A growth mindset, sense of humor, and warm personality
- Ability to work in a collegial, collaborative environment and to develop the necessary trust and credibility to work with a broad range of constituents.
- Availability on nights and occasional weekends
- Availability to regularly work in-person primarily in Los Gatos with occasional travel to San Jose campus
- Mandarin/Spanish proficiency is a plus

The Position: What Will You Do & How Will We Collaborate
We are seeking multiple early career teachers to join one of our lower school homeroom teams (multiple openings across K-4th Grades), or middle school departmental teams (openings for English, History, and Math across 5-8th Grades) as part of our Resident Teacher Program for the 2024-25 school year. This is a paid, 1-2 year hands-on, full-time, salaried teaching and professional development experience for beginning and early career teachers. Resident Teachers immerse themselves in the intellectually rich and reflective culture of teaching and learning at Hillbrook School as members of grade-level and/or departmental teaching teams.
Resident Teacher Program Overview:
The Resident Teacher Program (RTP) at Hillbrook School provides students and faculty with an exceptional educational experience and environment. Modeled after the medical residency practice, Resident Teachers at Hillbrook are full faculty members, teaching shoulder-to-shoulder with lead teachers at their grade level. Residents engage in all aspects of teaching and school-wide responsibilities while collaborating, exploring, and exchanging ideas on cutting-edge practices as members of both a Resident cohort, and of their departmental and grade-level teams. Our school’s emphasis on collaboration and co-teaching creates opportunities for all of our faculty to make deep inquiries into teaching and learning.

Resident Teacher Duties and Responsibilities:
● Plan and prepare materials and learning spaces for differentiated lessons following shared learning outcomes, individually and as part of a co-teaching team (this position is part of one grade level’s homeroom teaching team, JK-4th Grade, with the specific grade to be determined in the hiring process)
● Lead daily, small- and whole-group academic, social emotional, and equitable and inclusive student learning, individually and as part of a co-teaching team.
● Assist with the observation, assessment, and documentation of student learning.
● Communicate with families about student progress, strengths and challenges, as part of a team.
● Reflect on teaching practice and student learning with both co-teaching team and Resident cohort.
● Attend biweekly Resident Seminars and participate in peer lesson observation cycles.
● Take initiative, work independently, and contribute ideas to the team.
● Actively participate in a collaborative employee culture that is committed to being at the leading edge of JK - 12th grade education, for example by building strong professional relationships, seeking learning opportunities, and engaging in committees, audits, Diversity Equity & Inclusion protocol groups, and other professional development available through the school.

The Position: What Will You Do & How Will We Collaborate
Hillbrook School is always seeking early childhood, elementary, and middle school teachers to work in a substitute teacher role for each school year. The substitute teacher would provide personalized, developmentally appropriate, and joyful learning experiences to each child in their care. Classroom experience is required. Grade levels are JK through 8th. Lesson plans are prepared for the substitute teacher.
Substitute teacher scheduling is done in advance of the day of the lead teacher's absence in some instances, however in many cases there is no advanced notice and the reach out to the substitute teacher is the morning of the absence. Substitute teachers are not on call and are not expected to be available at all times. Substitute teachers are encouraged to clarify which grade levels and content areas they prefer to teach for scheduling purposes.

The Position: What Will You Do & How Will We Collaborate?
The Extended Care Associate will work 12-15 hours/week (2:30 - 5:30pm) and together with the other staff on our extended care team will deliver personalized, hands-on/inquiry based, developmentally appropriate, and joyful learning experiences to each of the after school extended care students.

Specific Duties and Responsibilities
● Assist with the Hillbrook School Extended Care Program and help support a high energy, organized, processional and positive experience for students, parents and staff
● Support extended care team with all aspects of the extended care programs
● Assist with extended care check-in and check-out processes
● Assist with student activities, including homework, crafts and games
● Help with the snack distribution process
● Ensure a high-quality experience for students and parents through clear and frequent communications
Qualifications

The Position: What Will You Do & How Will We Collaborate
Something powerful happens when you engage curious, motivated student-athletes with coaches who care and know how to inspire students toward a goal.
At Hillbrook, the pursuit of excellence in our athletic program will be evident in a way that will challenge others how to think and act and in a way that will serve to unite the community. Based on an individualized approach centered around sustainable sports performance and wellness principles, we will support the physical, social and emotional growth of our students in a way that is grounded in the core values of the school.
The Head of Program will be someone who loves visionary thinking as well as tactical execution, a coach with an entrepreneurial spirit and a grounding in best practices in education based athletics. This Coach will be responsible for coaching our JV team, while also building out the Girls Basketball Program. They will participate in sharing and presenting our Girls Basketball Program to prospective families, and they will play a key role hiring assistant coaches and future coaches. While not exactly a blank canvas - this is an expansion of an already excellent JK-8 athletic program - this is a truly unique opportunity to shape and nurture an upper school program from its infancy.

Specific Duties and Responsibilities

● Serves as the Head Coach of the Girls Basketball Program (JV team in Winter of 2024-25)
● Provides leadership, organization and supervision for all practices and contests
● Teaches, promotes and conducts the program within the principles of Pursuing Victory with Honor
● Implements and maintains a standard of performance consistent with the institution’s core values
● Directs the activity of assistant coaches
● Conducts the program within the rules and regulations of the CIF
● Manages the program within the parameters of an approved budget
● Assists in organizing home and away travel contest arrangements
● Other duties as assigned
Qualifications
● Bachelor’s degree required
● Demonstrated commitment to teaching and learning in a diverse, dynamic, and progressive school community
● A commitment to anti-racism and demonstrated skill designing equitable and inclusive educational experiences and learning environments that incorporate themes of diversity and justice
● Desire and ability to work in a collegial, highly collaborative environment
● Knowledge of CIF rules and regulations
